How to turn a Zoom call into action items automatically
There are three working ways to turn a Zoom recording into a task list: review it yourself at 2x speed, run the transcript through an AI chat with a good prompt, or set up a pipeline that does it automatically every time. Here is each one with honest tradeoffs.
Option 1: manual review at 2x
Open the recording, play at double speed, pause when you hear a commitment, write it down. Reliable and free, but a 60 minute call costs 30 minutes plus, every time. Fine for one important call a week; collapses at daily volume.
Option 2: transcript plus an AI chat
Get the transcript (Zoom can generate one), paste it into an AI assistant, and prompt: 'List every commitment in this conversation with owner and deadline. Then list decisions made.' Quality is decent with a clear prompt.
The catch is everything around it: you do this by hand per call, the chat forgets your clients between sessions, and the output still needs to become emails and reminders somewhere else.
Option 3: an automatic pipeline
The volume answer is a pipeline: recording flows in automatically, tasks with owners and dates come out, and the follow ups get drafted in the same step.
Inbeo does this with a one time setup: connect Zoom through Zapier or Make, and every new recording imports on its own. You get a summary, task cards with prefilled client emails and suggested send times, and reminders, with an email telling you when each call is ready. You only open the app to approve.
Which to pick
One meaningful call a week: manual is fine. A few calls a week and you enjoy tinkering: transcript plus AI chat works. Calls every day with real follow up obligations: pipeline, because the cost is no longer extracting tasks but doing this reliably forever.
